Tips, Tricks, and Answers

The following articles are available for the 'Working with Other Programs' topic. Click the article's title (shown in bold) to see the associated article.

Accessing Excel through a PDF File
Word and PDF files go together like peanut butter and jelly. (How's that for a metaphor?) If you create PDF files from your Word documents, you may wonder why you can no longer access your embedded Excel workbooks in the target PDF. The answer has to do with the nature of PDF files and how you go about creating them.

Creating an XML File from a Word Document
XML (extensible markup language) is a standard used by many problems to exchange information. Word 2007 uses its own variant of XML to save documents, and documents in Word 2003 could be saved in an XML format. If you want to save document information in a cleaner, plainer, more universal form of XML than what is provided by Microsoft, here's some guidance on what you can do.

Creating Microsoft Reader Files in Word 2007
Microsoft Reader is a product that allows you to read e-books on various devices. The e-books have to be in what is called a ".Lit" format. Earlier versions of Word had add-ins available that would export documents into this format, but not so with Word 2007.

How to Turn Add-in Toolbar off by Default
Add-in programs for Word often add toolbars that offer whatever features the add-in enables. Sometimes you may not want these toolbars to be displayed. Figuring out how to turn them off can be a headache, however. This tip offers some suggestions on things you can try.

Hyperlinks to PDF Files Won't Open
If you have a document that contains hyperlinks to a PDF file, it is possible that the links may not open the PDF file properly. The solution may be to upgrade your version of Adobe Reader, as described in this tip.

Inserting a Sound File in Your Document
Got an audio file you want to insert in your document? It's easy to do when you use the Object dialog box, as described in this tip.

Inserting a Voice Annotation in Your Document
Want to add a multimedia touch to your workbooks? Consider adding voice annotations by recording a sound file. This tip explains how to quickly add such an annotation.

Merging Formatted Data
Using the mail merge feature of Word, you can make data from Access databases accessible for your documents. How information is stored in the Access database can affect the way that data looks once merged into Word. This tip discusses ways you can make phone numbers appear formatted properly in Word.

Processing Information Pasted from a PDF File
When pasting information copied from a PDF file, you can end up with a paragraph for each line of the original document. It would be much better to process the information to remove the extra paragraph breaks prior to pasting. This tip provides a macro you can use to do just that.

Working with Document Links
You can link objects from other Microsoft Office documents into your Word document. You can manage the status of those links by using the Links dialog box, discussed in this tip.
