Adding Individual Styles to the Template

Summary: One of the things you can store within templates are styles. When you use styles, it is critical that you understand how they can be added to a template so you can use them in a lot of different documents. Here's the way to make that addition. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

Templates are used in Word to define how you want your menus, toolbar, glossary, and default styles to appear. When you are either adding new styles or changing existing styles, Word allows you to update the template to reflect those style changes. To do this, follow these steps if you are using Word 97 or Word 2000:

Select Style from the Format menu. Word displays the Style dialog box.
Using the list of styles, select the name of the style you want to change.
Click on Modify. The Modify Style dialog box appears.
Make sure the Add to Template check box is selected.
Make any changes to the style you desire.
Click on OK.
To add or update other styles in the template file, repeat steps 2 through 6.
When you have finished changing styles, click on Close.

If you are using Word 2002 or Word 2003 you should instead follow these steps:

Select Styles and Formatting from the Format menu. Word displays the Styles and Formatting task pane.
In the task pane, scroll through the list of styles until you see the style you want to change.
Move the mouse pointer over the style name and then click on the down-arrow at the right side of the style name.
Click on Modify. The Modify Style dialog box appears. (Click here to see a related figure.)
Make sure the Add to Template check box is selected.
Make any changes to the style you desire.
Click on OK.
To add or update other styles in the template file, repeat steps 2 through 7.
When you have finished changing styles, close the Styles and Formatting task pane.

Here's how you accomplish the task if you are using Word 2007:

Make sure the Home tab of the ribbon is displayed.
Click the small arrow at the bottom-right corner of the Styles group. The Styles pane appears at the right of the program window.
In the Styles pane, scroll through the list of styles until you see the style you want to change.
Move the mouse pointer over the style name and then click on the down-arrow at the right side of the style name.
Click on Modify. The Modify Style dialog box appears.
Make sure the New Documents Based On This Template radio button is selected.
Make any changes to the style you desire.
Click on OK.
To add or update other styles in the template file, repeat steps 3 through 8.
When you have finished changing styles, close the Styles pane.
