Inserting the Date Your Document Was Last Printed

Summary: Word keeps track of each time you print your document, and you can automatically insert the last printing date anywhere you want. This tip explains which field you specifically use to insert this information. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

One of the pieces of information that Word maintains about documents is when they were last printed. Every time you print your document, this piece of information is updated. There may be times when you want to display this "last printed" date in your document. To do this, follow these steps:

  1. Position the insertion point where you want the date to appear.
  2. Choose Field from the Insert menu. Word displays the Field dialog box. (Click here to see a related figure.) (To display the Field dialog box in Word 2007, make sure the Insert tab of the ribbon is displayed, and then click Quick Parts in the Text group. In the resulting choices, choose Field.)
  3. Choose Date and Time from the Categories list. Word updates the choices in the Field Names list.
  4. Select PrintDate from the field list at the right side of the dialog box.
  5. Click on Options or Field Codes to select a date format, if desired.
  6. Click on OK to insert the field.

Tip #1841 applies to Microsoft Word versions: 97 | 2000 | 2002 | 2003 | 2007
